RESERVATION GUIDELINES:

1. Please direct inquiries regarding availability and reservations to the BHCH Coordinators via the online form or email at: Info@BaxterHillCommunityHall.org 

2. Reservations can be made by contacting the BHCH Coordinators via the online form or email.

3. Mail Reservation deposits and payments to:

4. The full fee must be paid and the Facility Use Agreement submitted at least two weeks prior to the event.

CANCELLATION:
1.  The BHCH Coordinators should be notified in writing (email acceptable) of all cancellations and refund requests at least 5 days prior to the scheduled event.

2.  No refunds will be granted after the date of the reservation date, whether or not the facility was used.

 BUILDING RULES: 
1.  NO smoking is permitted inside the building. Outside smoking permitted in designated areas only.

2.  Amplified sound outside the hall is allowed until 10 pm (prior approval from Coordinator is required).

3.  Activities should be done by 10:00pm with premises vacated by 11:00pm.

4.  Parking is located in the Our Savior’s Lutheran Church parking lot below the building.  There are 4 handicapped parking spaces beside Faith House and Baxter Hill Community Hall.

There is a loading/unloading area outside the building.
 
CLOSING RESPONSIBILITIES:
• Tables and chairs – set up and put away
• Deposit all garbage from building in rolling trash cans provided.
• Remove all food items, utensils and serving dishes that you brought.
• Wipe down all tables and counter tops.
• Turn off all appliances, lights, fans
• Close and lock all doors.
• Return key to the church office within 24 hours of facility use.

 KEYS:
Baxter Hall operates on a key checkout system by groups or individuals using the building.  Users must pick up the key from the Our Savior’s Lutheran Church office (9 am – 5 pm M – F) (Summer Hours - Memorial Day to Labor Day- 9am - 5pm M-Th, 9am-1pm Friday).  The key must be returned by 12 noon the day following the reservation or by 12 noon on Monday following a weekend event.  If the key is not returned, a penalty equal to the cost of rekeying all doors in the facility may be assessed.
